INTRODUCTION

This Privacy Notice explains in detail the types of personal data we may collect about you when you interact with us. It also explains how we will store and handle that data, and keep it safe.

WHEN DO WE COLLECT YOUR PERSONAL DATA?

When you fill in a registration form, we collect the information you provide us so that we can provide your family with dance classes, internal and external examinations, workshops, shows and other dance related activities.

You will also have the opportunity to sign up to our monthly e-newsletter. This service is provided by MailChimp. You are able to opt out of this at any time by clicking on the link at the bottom of the email or contacting us at danigrantdance@gmail.com

From time to time we may require your permission to photograph and or film your child at one of our events which is in line with our safeguarding policy. This data is collated using WIX using an embedded form on our website.

 

WHAT SORT OF PERSONAL DATA DO WE COLLECT?

Parents or guardians – Full name, Address, Telephone numbers, Relationship to pupils, Email address, Date registered.

Pupils – Full name, Pupil date of birth, Gender, Date registered, Examination body identification number, Records of classes taken, Records of exams taken, Medical information for safety purposes – such as injuries, allergies or other matters that effect the pupils ability to dance. Photographic/video consent. 

 

HOW DO WE MONITOR COMMUNICATIONS WITH YOU?

On occasion we will note in our records important personal communications with you, such as changes in address or adjustments to your classes.

 

HOW AND WHY DO WE USE YOUR PERSONAL DATA?

We’ll process your personal data as follows:

  • To perform our agreement with you to provide dance classes

  • To update our records

  • To trace your whereabouts to contact you about your account

  • For good governance, accounting and managing our business operations

  • To monitor emails, calls or other communications and activities on your account

  • To measure the performance of our business

  • To send you information about relevant events and services offered by the school

  • For compliance with legal and regulatory requirements

  • For establishment and defence of legal rights

 

HOW WE PROTECT YOUR PERSONAL DATA?

Your data is stored online using MemberMeister, MailChimp and WIX. This data is password protected.

 

WHO DO WE SHARE YOUR PERSONAL DATA WITH?

Subject to applicable data protection laws, we may share your personal data with:

  • Teachers and officers of the school

  • Our legal or other professional advisors, including accountant/bookkeepers 

  • Examining bodies – such as the Royal Academy of Dance

  • Event organisers – such as the Beckenham Festival

 

Please note, that we do not share all of your personal information. Rather we only share the personal data that the above need to know. For instance, Teachers only have the name, date of birth of birth and mobile phone numbers for pupils in their classes to keep a proper register, to monitor the age of pupils for examination entries and to contact parents (usually in an emergency).

We use MemberMeister to send you invoices for payment using their ‘GoCardless’ system. We also use it to collate information about both parents and pupils such as date of birth, addresses, telephone numbers, email addresses, emergency contact information and medical information. 

You give us this data at the time of enrolment and it is used to create registers, timetables and to contact you via post, email and SMS. You can change your contact preferences anytime by contacting us at danigrantdance@gmail.com or by clicking on the links at the bottom of our e-newsletter. 

We use MailChimp to send out our monthly e-newsletter.  You will have received an email giving you the chance to opt-in to receiving this e-newsletter. You can unsubscribe at anytime using the links at the bottom of the e-newsletter or by contacting us at danigrantdance@gmail.com

We also use MailChimp to create sign-up forms. These are embedded in links in our e-newsletters and used to collect sign-ups for workshops, events and theatre trips. Data from these forms is collated on MailChimp. 

We will not share your personal data with other parties without your express permission.

 

We use Membermeister to collect and collate parental/guardian permission regarding the photographing and/or videoing of our events. 

 

WILL WE SEND YOU MARKETING INFORMATION?

We will not send you marketing material about the products and services of other parties unless they are highly related to an event or service we provide. For instance, when we hold a show we will provide you information about the Show DVD and Show Photographer.

Due to the nature of our database it is not practical to exclude families from more general news and information about the school at this time. Generally, we will send you the following types of information:

  • Fees and statements related to your account

  • Questions about your account or classes

  • Information about our events, classes and examinations

  • Urgent information about class changes and cancellations

  • If you have signed up to our e-newsletter you will receive this to your email account.

 

HOW LONG WILL WE RETAIN YOUR DATA?

We will retain your data as long as necessary to deal with your queries following your family’s departure from the school and for legal and regulatory purposes, which is for up to six years for income tax purposes.

 

WHAT ARE YOUR RIGHTS OVER YOUR PERSONAL DATA?

You have the right of access to the personal data we hold about you, of the correction of your personal data when incorrect, out of date or incomplete and to withdraw consent whenever you have given us your consent to use your personal data. You have the right to change your mind at any time and withdraw that consent. You can request us to delete the records we hold. WHAT IS A COOKIE?

A cookie is a small text file, which often includes a unique identifier, which are issued to your computer or device when you visit a website.
